Log walkaround checks, grade the defects they find, keep roadworthiness and insurance in date, and manage off-road.

A vehicle record earns its keep by keeping the vehicle safe and legal. Open any vehicle to work its checks, defects and compliance.
Walkaround checks
Submit check logs a walkaround: notes, and any defects you find. For each defect you describe what you see and give a Safety assessment — Safe to continue, Unsafe to continue or Vehicle stopped — "describe what you see; the authority grades severity."
An Unsafe or Stopped assessment automatically moves the vehicle to Pending off-road and alerts the fleet managers ("Safety review needed: {registration}"). The reporter never grades severity — that's the next step.
Grading and off-road
A raised vehicle defect is graded by a manager: Advisory, Major or Dangerous, with an action of Monitor – stay in service or Take off road. Taking it off road sets the vehicle Off-road. Return to service is blocked until open defects are resolved with evidence — "Resolve open defects with evidence before returning to service."
Compliance
Set up your regime under Compliance types — "Rename these to your country (e.g. MOT, PTI, DOT)." The seeded set covers roadworthiness test, insurance, road tax, operating authority/licence and the driver-hours device, each with an interval and a reminder lead.
Then on a vehicle, Record compliance: type, reference, issued/expires dates, a note and an attached document (25 MB). Each shows Valid / Due soon / Expired, and Renew rolls the dates forward. Maliru alerts fleet managers ahead of expiry ("{type} expiring for {registration}").
Inspection cycles
Add cycle schedules recurring inspections (safety inspection, tacho calibration) with an interval and first-due date. Complete advances the next due date and re-arms the reminder, and managers are alerted when one's due.
Tip: the four built-in statuses drive the safety automation, so keep In service / Off-road meaning what they say — a vehicle a check flagged unsafe should stay off the road until its defects are resolved with evidence, which is exactly what Return to service enforces.
