File limits and upload errors

The limits at a glance
- Evidence, form attachments, job files, chat attachments, authorisation evidence — 25 MB per file
- Files per job file field — 10 files
- Workspace/onboarding logo — PNG, JPEG or WebP; at least 600×160px; under 5 MB (no SVG)
- AI form generation source document — PDF or image, under 6 MB
- Job imports — 2,000 rows per batch
- User imports — 2,000 rows per batch
What the messages mean
- "Files are limited to 25 MB." — the file is too big. Photos rarely hit this; videos do. Trim the video or record shorter clips.
- "A field holds at most 10 files." — that job field is full. Remove an old file or use a second field.
- "The file could not be uploaded." — the upload itself failed, usually connection. Retry in better signal.
- "The file could not be selected." — the phone's file picker failed before Maliru saw the file; try again or pick from a different source.
- "The file could not be opened." — the file's secure link expired (they last an hour); reopen it from the record.
- "Choose a PNG, JPEG or WebP image." — avatars and logos must be one of those three formats. "SVG logos are not supported in the app yet."
- "Logo file is too large. Upload a PNG, JPEG or WebP under 5MB." / "Upload a sharper horizontal logo at least 600 x 160px." — the logo needs to look sharp in the sidebar and on PDF reports.
Spreadsheet imports
- Accepted: .xlsx, .csv, .tsv (or paste rows straight from Excel).
- "That file could not be read. Try a .xlsx or .csv." — re-save the file in one of those formats; exotic exports sometimes aren't readable.
- "The first row must be column headers" — imports need a header row naming the columns; it isn't imported itself.
- Row errors are shown per-row in the preview — fix them in your sheet and paste again. Nothing imports until the batch is clean enough to proceed.
Quiet gotchas
- Form-builder images (content blocks, image options) have a smaller 10 MB cap.
- Chat batch attachments: an oversized file in a multi-select is skipped rather than failing the whole send — if one file didn't arrive, check its size.
Rule of thumb: photos always fit; videos need care. If it's over 25 MB, it's a video — keep clips short and let photos carry the evidence.
